Learning Assessment Agreement

To help ensure a smooth and positive experience for you and your child, please review the policies below before scheduling a virtual learning assessment.

  1. Scheduling and Confirmation
  • Appointments can be booked, rescheduled, or canceled directly through our online scheduling system.
  • Payment is required at the time of booking (accepted forms of payment will be displayed during checkout).
  • Once your appointment is booked, you will receive a confirmation email with the date, time, and virtual meeting link.
  • If the appointment is for a child under the age of 18, a parent or legal guardian must book and attend the session (and always be visible on screen).
  1. Purpose of Assessment
  • The assessment is designed to:
    • Explore how your child learns
    • Identify strengths and challenges
    • Determine learning strategies/resources and share instructional techniques
  • While assessments are designed to provide valuable insights into a learner’s strengths, challenges, and areas for growth, understanding their limitations is important:
    • Assessments offer a snapshot in time. Results reflect performance during the session and may not fully capture the child’s abilities in all environments or on different days.
    • Assessments do not replace medical, psychological, or clinical evaluations. Our assessments are educational in nature and are not intended to diagnose medical, neurological, or mental health conditions.
    • Results depend on effort, attention, and comfort. Fatigue, mood, motivation, stress, or distractions can influence performance. These factors may affect outcomes even when best practices are followed.
    • Not all skills can be assessed virtually. Some tasks may be limited or adapted due to the nature of online platforms, which may impact the depth or type of information that can be gathered.
    • Assessments rely on the accuracy of information shared. Background details provided by parents, teachers, or caregivers play an important role. Incomplete or inconsistent information may affect interpretation.
    • Findings are informational and not guarantees of future performance. Recommendations are based on current data and best practices, but learning needs can change over time.
    • Additional follow-up may be needed. In some cases, further observation, classroom data, standardized testing, or specialist evaluations may be recommended for a more comprehensive understanding of the learner profile.
  • These limitations are a normal part of any educational assessment process. Our goal is to provide thoughtful, evidence-informed feedback to guide next steps and support each learner’s success.
  1. Adult Presence and Support
  • To ensure the safety, comfort, and well-being of all children participating in virtual assessments, a parent or legal guardian must be online, in the same room, and visible on camera for the full duration of each session.
  • Parents/guardians should be available to assist with technical issues, help the child transition between tasks, and support the child’s comfort if needed.
  • To maintain the accuracy and integrity of the assessment, parents/guardians should refrain from providing hints, answers, or coaching unless the assessor specifically asks for assistance.
  • If a supervising adult is not present and visible at the beginning of the session, the appointment may need to be rescheduled.
  1. Technology and Environment
  • Please ensure you have:
    • A stable internet connection
    • A device with a camera and microphone
    • A quiet, distraction-free space where everyone can speak openly
  • If technical issues prevent a session from taking place, we will make every effort to reschedule without additional fees.
  1. Cancellations and Rescheduling
  • If you need to cancel or reschedule, please do so at least 24 hours in advance.
  • Cancellations made within 24 hours may be subject to a late-cancellation fee.
  • Missed appointments without notice (“no-shows”) are billed at the full session fee.
  1. Late Arrivals
  • We understand that delays happen. If you arrive late, your session will still end at the scheduled time so that we can remain fair to all clients.
  • If you are more than 15 minutes late, we may need to reschedule the appointment, and a rescheduling fee may apply.
  1. Privacy and Recording
  • All assessment information is kept confidential.
  • Sessions may not be recorded by parents or guardians without written permission from Learnabilities.
  • Sessions will not be recorded by Learnabilities without your written permission.
  • Digital materials provided during the session are for your use only and may not be shared or reproduced without written permission.
  1. Assessment Results and Follow-Up
  • At the end of an assessment, you will schedule a follow-up session during which you will receive a written summary of results and recommendations.
  • Following assessment, additional coaching is available to guide implementation of the recommendations.
  1. Communication
  • You will receive reminder emails before your session.

By scheduling a virtual learning assessment, you acknowledge that you have read and agree to these policies. Our goal is to create a smooth, supportive, and meaningful assessment experience for your child.
