Initial Consultation Agreement
An initial consultation is a great opportunity for us to learn more about your goals and for you to ask questions about how our services can support you, your child, or your students. To help us ensure a smooth experience, please review the policies below before scheduling.
- Scheduling and Confirmation
- Appointments can be booked, rescheduled, or canceled directly through our online scheduling system.
- Payment is required at the time of booking (accepted forms of payment will be displayed during checkout).
- Once your appointment is booked, you will receive a confirmation email with the date, time, and virtual meeting link.
- If the appointment concerns a child under the age of 18, a parent or legal guardian must book and attend the session (and always be visible on screen).
- Initial consultations are for new clients only and may only be scheduled once per learner, classroom, or school/organization.
- Purpose of Consultation
- The initial consultation is designed to:
- Learn about your needs, questions, and goals
- Provide information about the services we offer
- Discuss possible next steps, timelines, and options
- An initial consultation gives a general picture based on conversation and shared information, not direct testing or observation.
- Any suggestions are starting points. Recommendations are meant to help guide next steps and may change as more information becomes available.
- The usefulness of the consultation depends on the information shared. What parents, guardians, and teachers provide helps shape the discussion, and additional details can lead to different recommendations.
- Recommendations provided during consultation are for informational and educational purposes only and do not constitute legal, medical, or financial advice.
- Adult Presence and Support
- To discuss services for a child under the age of 18, a parent or legal guardian must be online, in the same room, and visible on camera for the full duration of each session.
- If a supervising adult is not present and visible at the beginning of the session, the appointment may need to be rescheduled.
- Any documents you feel may be helpful (e.g., psychoeducational evaluations, progress reports, IEPs or 504 Plans, goals) can be screen-shared and discussed during the consultation.
- Any known challenges of the learner(s) should be presented along with strengths and with a positive, growth mindset.
- Please have questions or notes ready before the meeting so as to maximize our time together.
- Technology and Environment
- Please ensure you have:
- A stable internet connection
- A device with a camera and microphone
- A quiet, distraction-free space where everyone can speak openly
- If technical issues prevent a session from taking place, we will make every effort to reschedule without additional fees.
- Cancellations and Rescheduling
- If you need to cancel or reschedule, please do so at least 24 hours in advance.
- Cancellations made within 24 hours may be subject to a late-cancellation fee.
- Missed appointments without notice (“no-shows”) are billed at the full session fee.
- Late Arrivals
- We understand that delays happen. If you arrive late, your session will still end at the scheduled time so that we can remain fair to all clients.
- If you are more than 15 minutes late, we may need to reschedule the appointment, and a rescheduling fee may apply.
- Privacy and Recording
- All information shared during the consultation is confidential.
- Any documents screen-shared during the consultation will not be downloaded or permanently stored by Learnabilities.
- Sessions may not be recorded by parents or guardians without written permission from Learnabilities.
- Sessions will not be recorded by Learnabilities without your written permission.
- Digital materials provided during the session are for your use only and may not be shared or reproduced without written permission.
- Follow-Up
- At the end of the consultation, we will outline recommended next steps, which may include services, assessments, or additional resources.
- You will have the opportunity to ask questions and determine if our support is the right fit for your needs.
- Communication
- You will receive reminder emails before your session.
