Coaching Agreement

Coaching sessions are designed to provide personalized guidance, support, and strategies for teachers, parents, and caregivers. To ensure a smooth and productive experience, please review the policies below before scheduling.

  1. Scheduling and Confirmation
  • Coaching sessions can be booked, rescheduled, or canceled directly through our online scheduling system.
  • Payment is required at the time of booking (accepted forms of payment will be displayed during checkout).
  • Once your session is booked, you will receive a confirmation email with the date, time, and virtual meeting link.
  • If the appointment concerns a child under the age of 18, a parent or legal guardian must book and attend the session (and always be visible on screen).
  1. Purpose of Coaching Sessions
  • Coaching is provided primarily for improving the knowledge and skills of the teacher or parent/guardian working with the learner (rather than direct tutoring of learners).
  • Coaching is individualized for teachers or parents/guardians and may include:
    • Support with learning strategies and learner engagement
    • Guidance on behavior, organization, or instructional techniques
    • Collaboration around accommodations, interventions, or home/school routines
    • Planning next steps for ongoing support
  • Coaching is not a formal evaluation or assessment of teaching, though recommendations may be provided.
  • Coaching outcomes may vary based on individual readiness for change, accuracy of information shared, consistency of engagement, and openness to feedback, as well as factors such as classroom/homeschool conditions, learner behavior, and other external factors.
  • Coaching does not guarantee specific performance outcomes or learner achievement gains.
  1. Adult Presence and Support
  • To discuss services for a child under the age of 18, a parent or legal guardian must be online, in the same room, and visible on camera for the full duration of each session.
  • If a supervising adult is not present and visible at the beginning of the session, the appointment may need to be rescheduled.
  • Any documents you feel may be helpful (e.g., psychoeducational evaluations, progress reports, IEPs or 504 Plans, goals, work samples) can be screen-shared and discussed during the consultation.
  • Any known challenges of the learner(s) and/or classroom should be presented along with strengths and with a positive, growth mindset.
  • Please have questions or notes ready before the meeting so as to maximize our time together.
  1. Technology and Environment
  • Please ensure you have:
    • A stable internet connection
    • A device with a camera and microphone
    • A quiet, distraction-free space where everyone can speak openly
  • If technical issues prevent a session from taking place, we will make every effort to reschedule without additional fees.
  1. Cancellations and Rescheduling
  • If you need to cancel or reschedule, please do so at least 24 hours in advance.
  • Cancellations made within 24 hours may be subject to a late-cancellation fee.
  • Missed appointments without notice (“no-shows”) are billed at the full session fee.
  1. Late Arrivals
  • We understand that delays happen. If you arrive late, your session will still end at the scheduled time so that we can remain fair to all clients.
  • If you are more than 15 minutes late, we may need to reschedule the appointment, and a rescheduling fee may apply.
  1. Privacy and Recording
  • All information shared during coaching sessions is confidential.
  • Any documents screen-shared during the consultation will not be downloaded or permanently stored by Learnabilities.
  • Sessions may not be recorded by clients without written permission from Learnabilities.
  • Sessions will not be recorded by Learnabilities without your written permission.
  • Digital materials provided during the session are for your use only and may not be shared or reproduced without written permission.
  1. Follow-Up and Action Steps
  • At the end of your coaching session, you will receive a summary of suggested next steps, strategies, or resources.
  • Follow-up coaching sessions can be scheduled as needed to continue support and/or monitor progress.
  1. Communication
  • You will receive reminder emails before your session.

By booking a coaching session, you acknowledge that you have read and agree to these policies. Our goal is to create a supportive, collaborative coaching experience that empowers you with clarity, tools, and practical strategies.
